TERMS AND CONDITIONS

These Terms and Conditions are a very important part of the booking procedure. Here you will find everything you need to know about our tour and booking policies. The present terms and conditions only apply to holiday arrangements which you book with East Navigator LLC in Russia and which we agree to make, provide or perform. These holiday arrangements include but are not limited to hotel accommodations, excursions, transport and guide services, flight and train booking, visa support, etc.

BOOKING POLICY

We accept the booking requests from our customers only in the written form by email. After receiving the booking request from you we shall notify you of it within 24-48 hours. You will be requested to send us your details/information necessary for making the travel arrangements, or you will be notified of the possibility/impossibility to organize the tour. You will receive the confirmation of the booked services as soon as we have all the services confirmed by our partners/subcontractors (hotels, transport companies, air/railroad agencies). Together with the confirmation you will receive the invoice for the booked services to be paid by a bank money transfer.

TOURS AND SERVICES

All tours, excursions and services published on our website are sample ones intended to give you the general idea of the programs we organize. The itineraries, sightseeing programs and landmarks listed in our tours may be subject to change. Whether you request a tailor made tour to better suit all your travel ideas or book one of our sample programs, you will get the Final Program with all arrangements booked and the accurate itinerary after we confirm all the services to you by email. You must therefore ensure you check all details of your chosen holiday (including the price) with us at the time of booking.

PRICES AND WEBSITE ACCURACY

Prices for our tours and other services published on our website are given for your reference only and are subject to changes at the discretion or East Navigator LLC by the time you come to book your holiday. You will receive updated and accurate prices after contacting us by email. All the rates are quoted in US dollars inclusive of taxes and are correct at the time of confirmation. Prices may be subject to change in case of significant exchange rates fluctuations and other economic reasons. Though in case the tour is fully pre-paid by the client the cost will not be changed and no additional amounts will be charged by us. Due to the inflation level, all hotels/transportation companies raise their costs by about 10-15% each year which influences our pricing policy accordingly, though we will do all in our power to keep the prices published on our website unchanged.

PAYMENT POLICY

Accepted Payment Methods:  currently East Navigator LLC accepts payments by international bank transfers only (please note that you should also pay your bank transactions fees for processing the payment). To make a bank transfer, please refer to our bank account info written in the invoice we send you after confirming the services. We do not accept credit cards or online payments for the moment.

We provide the booked and confirmed services only on full pre-payment condition. In case we do not receive any payment before the no-fine cancellation date of the hotels, we will have to cancel your booking to avoid paying fines.

All payments should be made in rubles or US dollars.

LIABILITY

East Navigator LLC claims no responsibility for any loss, damage, accident, injury, sickness or schedule change due to weather, strike or any other cause beyond East Navigator’s control. We will make every effort to safeguard our customers and their personal property, but cannot be held responsible for personal events beyond the tour operator’s control, or to damage sustained by tourists including those occurring outside the touring program. We therefore advise all customers to have comprehensive travel insurance to meet all contingencies.

East Navigator LLC reserves the right to alter routes, itineraries or departure times, with or without prior notice, should the necessity arise.

Our goal is to provide excellent customer service and in order to do so we maintain strict quality monitoring. If, for any reason, you are dissatisfied with your tour package, we want to hear about it. We recommend you contact us as soon as any incident arises. If you are unable to do so at the time, you must advise East Navigator LLC via e-mail within 48 hours after the event. If you fail to do so, this may jeopardize your right to compensation.

All information in the website is subject to change. East Navigator LLC reserves the right to alter/change/correct mistakes that may possibly appear in the website or published price lists.

CANCELLATION  POLICY

Cancellation made by East Navigator LLC 

East Navigator LLC reserves the right to alter the route or itinerary of any of its sightseeing tours and arrange alternative routes to those advertised if necessary, e.g. due to sudden change in weather conditions/traffic/construction works. The main tourist spots of the sightseeing tours will be preserved, but the route we use to access these spots may be changed according to our needs. All the sightseeing tours   will happen with rain or in cloudy days, unless it is a bad storm with high speed winds, that can offer risks to our groups and staff.

If a decision needs to be made, in terms of changing the itinerary due to unforeseen circumstances, like forest fires, floods, breakdowns, traffic jams, heavy rain, thunder storms or anything else that cannot be foreseen at this time, it will all be left to the discretion of the East Navigator LLC.

If a sightseeing tour or an adventure tour needs to be cancelled right in the middle of it, due to sudden weather changes that can put our customers at risk, we will then take customers back to their hotel. We will take all possible measures to reschedule the cancelled services for another date. In case customers cannot reschedule the tour, we reserve the right to retain the deposit already paid.

If some land services/excursions making part of the tour need to be cancelled by East Navigator LLC right before they start, for any possible reason, a full refund will be given to customers by bank transfer or in cash (if the payment for an excursion was made in cash). The tourists may also choose another alternative date for the tour. In this case, the deposit previously paid will be held, and the remaining balance will be paid in cash on the date the tour is rescheduled for.

Cancellation made by customers

 Sightseeing Tours and most of the sports and outdoor activities in Russia operate rain or shine, or even on cloudy conditions. Customers cannot cancel a tour based on their own assumption that the weather represents a risk, or simply because they wish to do a tour on a sunny day, and still expect a refund. Also, for sightseeing tours, we cannot guarantee visibility, especially in places like viewpoints located at hills. If customers cancel the fully pre-paid trip right before it starts or less than a week prior to the tour date, we reserve the right to retain the 100% of the paid amount. In a event of illness or any other type of problem or emergency that may prevent the customer from participating in the tour, the same rules will be applied and no refund will be given, if the attempt of cancelling the trip happens one week or less prior to the tour date.

REFUND POLICY:

East Navigator LLC offers full and partial refunds according to the date customers cancel the trip The date customers cancel it is more important than the reason, and it will influence the amount of money we can give back. Basically, the closer to the tour date customers cancel the tour, the less amount of money they receive from East Navigator LLC.

Notice of cancellation – Valid for Groups or Individual Customers

 More than four weeks prior to tour date: full refund

Less than four weeks prior to tour date: 75% refund

Less than three weeks prior to tour date: 50% refund

 Less than two weeks prior to tour date: 25% refund

 Less than one week prior to tour date: no refund

* Refunds are paid within 15 days after the request is made, if applicable

**Special cancelling conditions are applied to some services (like hotels, air/train tickets, etc.) and the tourists will be informed of them in correspondence by e-mail.
